Smart Aerial Solutions LLC ("SAIRS," "we," "us," or "our") operates s-airs.com, portal.s-airs.com, SAIRS Axis, SAIRS Client Portal, Axis Store, Axis Checkout, booking update pages, payment confirmation pages, and related client delivery systems.

SAIRS provides professional real estate photography, aerial photography, cinematic video, Matterport 3D virtual tours, visual production, drone inspections, thermal imaging, photogrammetry, mapping, and project documentation services across South Florida, including Miami-Dade, Broward, Palm Beach County, and the Florida Keys.

This Privacy Policy explains what personal information we collect, why we collect it, how we use it, how we protect it, and how you can contact us regarding your data.

Short version: We collect contact, booking, payment, project, portal, and delivery information to provide SAIRS services, coordinate your project, process payments, generate invoices, manage project delivery, and communicate with you. We do not sell your data, and we do not share SMS opt-in information or phone numbers with third parties or affiliates for marketing purposes.


Information We Collect

Information You Provide Directly

  • Name, email address, phone number, company name, and contact details submitted through contact forms, Axis Store, Axis Checkout, SAIRS Client Portal, guest access, booking update forms, chat, email, SMS, WhatsApp, or direct inquiries
  • Property address, project address, site location, project type, property type, preferred date, preferred time, and scheduling preferences
  • Access instructions, gate codes, lockbox information, parking instructions, onsite contact information, building or HOA notes, pet notes, alarm details, safety notes, and special project instructions
  • Selected services, packages, add-ons, build-your-own combinations, Matterport coverage details, project scope, and delivery requirements
  • Booking reference, project code, invoice number, payment status, booking status, scheduling status, delivery status, and project history
  • Client Portal account details when you create an account, including login email and related project access information
  • Guest Access information, including booking reference and purchase email used to locate a specific project
  • Communications you send to us through email, phone, SMS, WhatsApp, web chat, forms, booking pages, portal messages, or support requests

Payment & Invoice Information

  • Payment method selected at checkout, including Stripe, card, eligible wallet options, PayPal, or Reserve Now, Pay Later™
  • Transaction status, payment confirmation, payment reference, invoice amount, invoice number, and invoice PDF links
  • Billing details needed to generate invoices, receipts, accounting records, payment requests, and project records

SAIRS does not store full credit card numbers, PayPal login credentials, or complete payment card data. Payments are processed through secure third-party providers such as Stripe and PayPal.

Information Collected Automatically

  • Browser type, device type, operating system, referring URLs, and general website usage information
  • Pages visited, buttons clicked, time spent, form interactions, and checkout activity when analytics or operational tracking is enabled
  • IP address, general geographic location, cookie data, session data, and device identifiers when applicable
  • Portal access logs, login activity, guest access attempts, download activity, and project access events when needed for security, support, and delivery tracking

Aerial, Visual, Matterport & Inspection Project Data

For imaging, inspection, Matterport, mapping, or documentation projects, we may collect photos, video, drone imagery, GPS coordinates, Matterport scan data, 3D tour data, point cloud data, mapping files, inspection imagery, reports, site documentation, access documentation, and related project files.

This project data is used to complete and deliver your project, maintain project records, support client access, and comply with operational, legal, insurance, and accounting requirements. SAIRS does not sell project media or scan data to third parties.


How We Use Your Information

  • To respond to inquiries, provide quotes, and recommend suitable services
  • To process Axis Store, Axis Checkout, Pay Now, and Reserve Now, Pay Later™ bookings
  • To create booking references, project codes, invoices, payment requests, and project records
  • To schedule, coordinate, confirm, reschedule, or cancel appointments
  • To review access, weather, airspace, safety, logistics, and production requirements before mobilization
  • To process payments through Stripe, PayPal, eligible wallet options, or other approved payment methods
  • To generate invoices, receipts, accounting records, and financial reports
  • To manage SAIRS Client Portal, Client Account access, Guest Access, project status, invoices, payment status, and project delivery
  • To deliver photos, videos, Matterport links, floor plans, MatterPak files, inspection files, reports, and other deliverables
  • To process Booking Update submissions, including access notes, gate codes, parking instructions, onsite contacts, scheduling notes, reschedule requests, and cancellation requests
  • To send booking confirmations, booking received notices, payment received notices, invoice updates, appointment reminders, scheduling updates, project status updates, payment requests, and delivery notifications
  • To send SMS, email, or WhatsApp communications when you have opted in or when communications are related to an inquiry, booking, project, customer support request, or service relationship
  • To provide customer support, troubleshoot project access, and verify booking ownership
  • To improve our website, checkout process, portal experience, workflows, client communications, and service offerings
  • To comply with legal, tax, accounting, insurance, aviation, operational, and safety obligations

SAIRS Client Portal & Guest Access

SAIRS Client Portal is used to provide secure access to project information, delivery files, invoice details, payment status, booking status, and project history.

Client Account

If you create a Client Account, we may store your login email, profile information, project history, invoice history, payment status, project status, and download access records. This allows recurring clients to access current and past projects in one place.

Guest Access

Guest Access allows access to a specific project without creating an account. To verify access, we may request your booking reference and the email used during purchase or booking. Guest Access is intended for one-time clients, agents, referrals, or anyone needing access to a single project.

Booking Updates Through Portal

Before your appointment takes place, you may submit updates to booking details through the Booking Update page or SAIRS Client Portal. These updates may include access instructions, gate codes, parking details, onsite contacts, scheduling notes, reschedule requests, or cancellation requests.


Reserve Now, Pay Later™

If you choose Reserve Now, Pay Later™, SAIRS collects your booking and project details without requiring upfront payment. Your project enters our operations queue for review, scheduling, capture, editing, and delivery preparation.

When your project is completed and ready for delivery, SAIRS may generate an invoice or payment request. Final files are released through SAIRS Client Portal after payment is confirmed.

We use this information to manage your booking, prepare your project, request payment, update project status, and release final deliverables once payment is complete.


Automation & AI-Assisted Operations

SAIRS may use automation tools, artificial intelligence assistants, customer relationship management systems, workflow platforms, and internal operational systems to help with communication, scheduling, booking coordination, invoice generation, project status updates, delivery notifications, and customer support.

These tools are used to support business operations and improve response time. They do not replace SAIRS operational review, final scheduling confirmation, safety judgment, or project delivery responsibility.


SMS & WhatsApp Communications

SAIRS may send SMS messages to clients and prospects who provide their phone number and voluntarily select an optional SMS consent checkbox on SAIRS-operated forms, including the Contact Form and Booking & Checkout Form on s-airs.com. WhatsApp or email communications may also be used when a client contacts SAIRS or requests support. These messages may include:

  • Booking received notifications and booking confirmations
  • Appointment reminders, scheduling updates, rescheduling notices, and cancellation updates
  • Access coordination, gate code, parking, onsite contact, and project logistics follow-up
  • Payment status, invoice, receipt, and payment request notifications
  • SAIRS Client Portal access instructions, project status updates, delivery notifications, and download availability notices
  • Responses to inbound inquiries submitted through forms, chat, email, SMS, WhatsApp, phone, Axis Checkout, Booking Update, or SAIRS Client Portal
  • Review requests, service announcements, and occasional updates regarding SAIRS services

Consent: By providing your phone number and checking the optional SMS consent box on our forms or checkout pages, you consent to receive SMS communications from Smart Aerial Solutions LLC (SAIRS). SMS consent is optional, is not required to submit a form, book a service, make a purchase, or receive SAIRS services, and is not a condition of purchase.

Message Frequency

Message frequency varies based on your inquiry, booking, appointment status, project activity, invoice status, payment status, delivery process, support requests, or selected communication preferences.

Opting Out

Message & Data Rates

Standard carrier message and data rates may apply. Wireless carriers are not liable for delayed or undelivered messages.

SMS Opt-In Data Protection

SMS opt-in information and phone numbers collected for SMS communications are not shared, sold, rented, disclosed, or transferred to third parties or affiliates for marketing or promotional purposes.

Cold Outreach

SAIRS does not use SMS opt-in for cold outreach to numbers obtained from public sources, Apollo, Zillow, LinkedIn, Google, purchased lists, rented lists, affiliate lists, or third-party lead lists without proper consent.


How We Share Your Information

We do not sell, rent, or trade your personal information. We only share information with service providers and systems that help us operate, process payments, manage bookings, automate workflows, communicate with clients, generate invoices, host project files, and deliver services.

SMS opt-in protection: SMS opt-in consent, SMS opt-in information, and phone numbers collected for SMS communications are not shared, sold, rented, disclosed, or transferred to third parties or affiliates for marketing or promotional purposes.

  • Stripe, PayPal, and eligible wallet options such as Apple Pay — payment processing, payment confirmation, and checkout support
  • GoHighLevel — CRM, client records, booking workflows, email, SMS, WhatsApp, opportunity tracking, project status, and customer communications
  • Netlify — hosted portal pages, checkout functions, webhook endpoints, payment confirmation pages, booking update forms, and backend project processing
  • Google Workspace — email, calendar, internal operations, file storage, project organization, and administrative records
  • Google Drive — internal storage and controlled file delivery infrastructure
  • Adobe PDF Services — invoice PDF generation and document rendering
  • Wave — accounting, bookkeeping, invoice tracking, and financial records when used
  • Squarespace — website hosting, forms, site content, and public website infrastructure
  • Matterport — Matterport 3D tour hosting, scan processing, tour links, and Matterport-related deliverables
  • Firebase or similar authentication services — secure portal authentication, login sessions, and user access management when used
  • Google Analytics or similar analytics tools — website usage, performance analytics, and marketing measurement when enabled
  • Make or similar automation platforms — workflow automation when used for approved internal business processes

These providers are used only to support SAIRS operations and your project. We may also disclose information if required by law, court order, tax obligation, accounting requirement, insurance claim, fraud prevention, security issue, or safety concern.


Data Retention

  • Client contact and project records: up to 5 years from last engagement, unless longer retention is required for legal, operational, insurance, or accounting reasons
  • Payment, invoice, tax, and accounting records: 7 years or as required by law
  • Booking references, project codes, operational notes, and project status records: retained as needed for support, audit, project history, and operational continuity
  • Marketing or communication consent records: duration of subscription plus 1 year, or as legally required
  • Website analytics data: based on analytics platform settings
  • SAIRS Client Portal account records: retained while the account remains active or as needed for project history and support
  • Guest Access logs: retained as needed for security, support, fraud prevention, and project access verification
  • Project media, delivery files, galleries, videos, folders, inspection files, and related deliverables: retained as reasonably needed for project delivery, client support, backup, portfolio, or legal and operational requirements
  • Invoice PDFs and accounting documents: retained indefinitely or as required for financial records
  • Matterport tours: hosted for the included hosting period, currently 1 month for eligible tours, and then continued only if hosting is extended, transferred, or maintained by the client

You may request deletion of your personal data at any time, subject to legal, tax, accounting, insurance, operational, project delivery, and legitimate business retention requirements.


Project Media & Portfolio Use

SAIRS may retain project media and delivered assets for operational backup, client support, portfolio use, website examples, social media, or marketing, unless you request otherwise in writing before the shoot or project begins.

Confidential client information, sensitive access details, gate codes, lockbox information, private contact details, payment information, and SMS opt-in information are not used in public marketing.

Inspection, infrastructure, telecom, utility, or corporate project data may be treated as confidential when required by agreement, client instruction, or project scope.


Inspection, Infrastructure & Sensitive Project Data

Inspection imagery, thermal imagery, mapping outputs, measurements, reports, point cloud data, and infrastructure documentation may contain sensitive operational, site, property, or asset information.

SAIRS treats this information as project-related data and limits sharing to authorized client representatives, project stakeholders, service providers involved in the project, or parties required by law, insurance, safety, or operational necessity.


Your Rights

  • Access — Request a copy of the personal information we hold about you
  • Correction — Ask us to correct inaccurate or outdated information
  • Deletion — Request deletion of your personal data, subject to legal, tax, accounting, insurance, project, and operational retention requirements
  • Opt-out — Withdraw consent for optional communications at any time

  • Portal access — Request support with Client Account or Guest Access when available

Payments are handled through secure third-party processors, and SAIRS does not store full credit card numbers, PayPal login credentials, or complete payment card data. Portal access and guest access are designed to limit project access to authorized users or users with the correct booking reference and purchase email.

No method of transmission, hosting, or storage is 100% secure, so we cannot guarantee absolute security. If you believe your project access or personal information has been compromised, contact us immediately.


Third-Party Links & Services

Our website, checkout, portal, emails, invoices, and delivery pages may link to third-party services such as Stripe, PayPal, Matterport, Google, Squarespace, or other platforms used to operate SAIRS services.

Those platforms have their own privacy practices and terms. SAIRS is not responsible for the privacy practices of third-party websites or platforms that we do not control.


Children's Privacy

Our services are not directed to individuals under 13. If you believe we have inadvertently collected information from a child, contact us immediately and we will delete it where legally and technically possible.


Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date at the top. Continued use of our website, portal, checkout, booking forms, or services after changes constitutes acceptance.
